Conquering procrastination: tips & tricks to get everything done on time

Procrastination is a sneaky beast we all face at one time or another. It’s that pesky habit of putting off tasks, convincing ourselves that we’ll get to them “later.” Before we know it, deadlines are looming, stress levels are skyrocketing, and we’re scrambling to get things done. But here’s the good news: procrastination can be tamed. It’s not an insurmountable challenge but a habit that we can learn to control and eventually overcome. In this blog, we’ll explore some friendly, down-to-earth tips and tricks to help you put a stop to procrastination once and for all.

1. Understand the why of it

Before tackling procrastination, it’s essential to understand why we do it in the first place. People procrastinate for various reasons: fear of failure, lack of motivation, an underlying attitude of laziness, feeling overwhelmed, or simply not knowing where to start. Take some time to reflect on your reasons. Are you avoiding a task because it’s boring? Or perhaps you’re afraid you won’t do it well? Once you identify the root cause, you can address it more effectively.

For instance you are not interested in completing your assignment because you do not know how to start the document. It may also because you started but became stuck in a particular place. In the first case, you can take steps required to do away with the mental block to start the assignment or report, by researching more on how similar documents are presented.

2. Set clear, achievable goals

One of the major reasons why we procrastinate is because the tasks ahead seem too daunting. Breaking them down into smaller, more manageable pieces can make them less intimidating. Instead of telling yourself, “I need to write a report,” break it down into steps like “research the topic,” “create an outline,” and “write the introduction.” This way, you can tackle each part one at a time, which feels much more achievable.

3. Use the Pomodoro Technique

The Pomodoro Technique is a time management method that can work wonders for procrastinators. Here’s how it works: set a timer for 25 minutes and focus on a single task without interruption. When the timer goes off, take a five-minute break. Repeat this process four times, then take a longer break of 15–30 minutes. This method helps maintain focus and keeps you from feeling overwhelmed, making it easier to start and complete tasks.

4. Eliminate distractions

It’s easy to get distracted by that post on Instagram, promotional notifications on your phone, emails, or that new Netflix series calling your name. Create a distraction-free environment to help you stay focused. This might mean putting your phone on airplane mode, using website blockers, or finding a quiet place to work. Set specific times to check your phone or social media, so they don’t interfere with your productivity.

5. Prioritize tasks

Not all tasks are created equal. Some are more important and urgent than others. Prioritize your to-do list by sorting tasks based on their importance and deadlines. The Eisenhower Matrix is a great tool for this — it divides tasks into four categories: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. Focus on tasks that fall into the urgent and important category first.

6. Set deadlines for yourself

Self-imposed deadlines can be a powerful motivator. Even if a task doesn’t have a specific deadline, set one for yourself. Having a target date can create a sense of urgency and help you stay on track. Be realistic about these deadlines — make sure they are achievable, so you don’t set yourself up for failure.

Positive reinforcement can be a great motivator. Promise yourself a reward once you’ve completed a task. It could be something small like a piece of chocolate, a short walk, or an episode of your favorite TV show. Knowing there’s a reward waiting can make the task at hand more enticing.

There are plenty of tools and apps designed to help with productivity and time management. Apps like Todoist, Trello, and Forest can help you organize tasks, set reminders, and stay focused. Find the ones that work best for you and incorporate them into your routine.

9. Practice self-compassion

Be kind to yourself. Everyone procrastinates from time to time, and beating yourself up over it only makes things worse. Instead, practice self-compassion. Acknowledge that you’re struggling and remind yourself that it’s okay to have off days. Treat yourself with the same kindness and understanding you would offer a friend.

10. Get an accountability partner

Having someone to hold you accountable can be incredibly effective. Share your goals and deadlines with a friend or colleague who can check in on your progress. Knowing that someone else is aware of your commitments can motivate you to stay on track.

11. Visualize the outcome

Sometimes, it’s helpful to visualize the end result of your efforts. Picture yourself completing the task and how good it will feel to have it done. This can help shift your focus from the effort required to the satisfaction of achieving your goal.

12. Develop a routine

Creating a daily routine can help you build productive habits. Set specific times for work, breaks, and relaxation. Over time, your brain will start to recognize these patterns and make it easier to get into a productive flow.

The hardest task is often the one we put off the most. Try tackling it first thing in the morning when your energy levels are high. This approach, known as “eating the frog,” can give you a sense of accomplishment and make the rest of your tasks seem more manageable.

Sometimes, procrastination happens because we’re overwhelmed with too many commitments. Learning to say no to additional tasks and responsibilities can help you focus on what’s truly important. It’s okay to prioritize your own tasks and decline requests that will overextend you.

Take time to reflect on your progress regularly. Celebrate your successes, no matter how small, and consider what strategies worked well for you. Reflection can help you understand your productivity patterns and adjust your approach as needed.

Lastly, maintain a positive attitude. Believe in your ability to change and improve. Procrastination is a habit, and like any habit, it can be broken. Stay patient with yourself and keep pushing forward, even when progress feels slow.

Procrastination doesn’t have to be a permanent fixture in anybody’s life. Understanding the underlying reasons for procrastinating, and implementing practical tips can help take back the control of your time and boost your productivity. The journey to overcoming procrastination is a gradual one and it’s okay to stumble along the way. The most important thing is to keep moving forward and celebrate your progress.
